3.5 CUSTOMER REPORTSAlmost all the reports in
Retail Advantage
POS Software and
Point of Sale
Software first preview on your screen when generated.
You may not see the complete report on your screen until you maximize
your screen. To maximize your
screen select the middle button of the three buttons found on the upper
right hand corner of the report. That button is between the button that looks like a dash,
which is the minimize button, and the x button which will actually close the
report. To print your report select the
print report button found on your tool bar.
You will also see options to output your report to notepad, analyze
with excel, publish with word and send via email.
You must have Microsoft Excel 97 or later installed on your computer
to use the analyze with excel option. You
must have Microsoft 97 word or later installed on your computer to use the
publish with word option. In
order to use the send option you must have a MAPI compliant email program
installed on your computer like Microsoft outlook or Microsoft exchange.
Just select those options to see what you can do on your computer. If you see that your report does not print clearly or does not view fully on your computer, you may need to reset your default printer in your control panel to your report printer. Since you may have your receipt printer set as your default printer in you printers the preview of your reports will not look as attractive if you had your reporting printer setup as your default printer. You may have to switch your default printer when you running reports and switch back to your receipt printer when you are running point of sale. Whenever you do make changes to your printer settings on your computer make sure Retail Advantage POS Software and Point of Sale Software is closed. Retail Advantage POS Software and Point of Sale Software recognizes your printers on startup of the program. 1.
SELECTION REPORTS – Mailing Labels and Customer Listings SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN SELECTION REPORTS. n You can create a report based on whatever Customer information you desire. Examples of selection reports include but are not limited to: Customer list with date of birth, First or Last Visit, or Customer Referrals. n Once you are in the Customer Selection Reports screen, click on Select Report (it is the 4th button at the bottom of the window). A screen with a split window will appear. n The left side window contains a list of all the available fields in the Customer’s record. For example, if you pull up a Customer’s name in the Customers screen from the main frame, you will see the Customer’s name, telephone number, address, dates for their first and last visit, referral information, preferences, et cetera. n Choose fields from the left side by double-clicking on each one you desire or highlight the field by clicking on it once then click the Select Field button. The fields that you select will be moved to the right side of the screen. n Select the Customer Listing button to view and print a listing of the Customers with the selected fields, or you may also select the Mailing Labels button to print out mailing labels to send marketing material to the Customers listed. 2.
NEW CUSTOMERS REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN NEW CUSTOMERS REPORT. n This report will give you a listing of all New Customers within a specific date range. The date refers to the Customers’ first visit date. n You can run this report for Customers serviced by one specific employee (if you have specific employees assigned to Customers) or for all the employees (this includes Customers who do not have a specific employee servicing them). 3.
CUSTOMER MONTHLY REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN MONTHLY REPORT. n The Customer Monthly Report is designed so that you can view a bar graph for any given year that shows, by month, when your Retail/spa received new Customers. You can also do a comparative report for two different years. 4.
HISTORY REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN HISTORY REPORT. n Use this report to review Customers Point of Sale history. You can specify the date range and click OK. The History Report displays the services and inventory items for the Customer within the specified date range. n After clicking on the Preview Report button, you will be able to print this report. 5.
LAST VISIT REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN LAST VISIT REPORT. n By specifying a date, you can print a list of the Customers who last visited the Retail/spa on that particular date. 6.
REFERRAL REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN REFERRAL REPORT. n Choose the type of referral you want a report for and then click on the Preview Report button to print a list of the Customers with that specific referral. Or you can print mailing labels to send out marketing literature to those Customers. 7.
CUSTOMER PREFERENCES REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN PREFERENCES REPORT. n Choose the category and preference or you can choose all categories and preferences, you will get a listing when you click on Preview Report or you can print mailing labels for the listed Customers. 8.
NON-RETURNING REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN NON-RETURNING REPORT. n With the Non-Returning report, you can print a list of Customers who visited the Retail/spa only once and never came back. Just specify the date range for their First (and only) visit then click the Preview Report button to print the list or Mailing Labels to print mailing labels to send out a flyer or postcard. 9.
BIRTHDAY REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN BIRTHDAY REPORT. n The Birthday Report gives you the ability to print a list of Customers’ birthdays by month. You can also print mailing labels from each list if you want to send them a birthday card, postcard or flyer. 10. MISSING
INFORMATION REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN MISSING INFO REPORT. n You can print a report based upon Customers who have the following information missing from their record: Employee, Date of Birth, Zip Code or Telephone number. 11. GIFT
CERTIFICATES REPORT SELECT FROM THE MENU BAR CUSTOMERS THEN REPORTS THEN GIFT CERTIFICATES REPORT. n This report provides you with a list of Gift Certificates purchased within a specified time range. The report will give a listing that includes the Customer’s name, Purchase Date, Initial Amount, Last Date Used, and Remaining balance. 12. ACCOUNTS

This report will generate a list of all unpaid accounts
receivables as well as allow you to take a closer look at any of the
customers on the list by going to their client screens.

STATEMENTS REPORT §
This report will generate statements on the customers that
have an account with your business and the statements can be mail out to
customers to show their account balance. Note: If you get errors when previewing your reports, don’t be
alarmed. This only means that there is no data to preview for the selected
report and date range.
