9.10 ACCOUNTS PAYABLE REPORTS
As with almost all the
reports in ADVANTAGE
Salon Software and
Spa Software the accounts payable reports first preview on your
screen when generated. You may not see the complete report on your
screen until you maximize your screen. To maximize your screen select
the middle button of the three buttons found on the upper right hand
corner of the report. That button is between the button that looks like
a dash, which is the minimize button, and the x button which will
actually close the report.
To print your report select
the print report button found on your tool bar. You will also see
options to output your report to notepad, analyze with excel, publish
with word and send via email. You must have Microsoft Excel 97 or
later to use the analyze with excel option on your computer. You must
Microsoft 97 word or later to use the publish with word option. In
order to have use the send option you must have a MAPI compliant email
program installed on your computer like Microsoft outlook or Microsoft
exchange. Just select those options to see what you can do on your
computer.
If you see that your report
does not print clearly or does not view fully on your computer, you may
need to reset your default printer in your control panel to your report
printer. Whenever you do make changes to your printer settings on your
computer make sure ADVANTAGE
Salon Software and
Spa Software is closed.

printers on startup of the program.
Aged Payable
Report
CLICK REPORTS, SELECT
ACCOUNTS PAYABLE REPORTS (under Report Groups) THEN FROM THE LIST ON THE
RIGHT SIDE, DOUBLE CLICK ON AGED PAYABLE

Enter the As of Date if it needs to be different from the
current (default) date. The format of the date should be entered MM/DD/YY
(including slashes).

You have the option to sort or organize the report two
different ways: Order by Vendor or Order by Due Date. Be sure to select
one of the options.

To preview or print the Aged Payable Report, click the
button with the printer on it.
Bill Listing
CLICK REPORTS, SELECT
ACCOUNTS PAYABLE REPORTS (under Report Groups) THEN FROM THE LIST ON THE
RIGHT SIDE, DOUBLE CLICK ON BILL LISTING

First select the date range for which you want an Accounts
Payable Bill Listing. The Start date will default to 01/01/1900 and the
End date to 12/31/2100 to include all available dates when you click the
Print button if no dates are specified.

Next select the Vendor Start and Vendor End. This will
list alphabetically, the Accounts Payable for the given date period. If
you do not specify Vendors then the Bill Listing will include all
vendors that you have accounts payable for.

The information found on this Report is: Invoice Number,
Invoice Date, Due Date, Paid, Amount. The list is sorted by Vendor.
Check Register
CLICK REPORTS, SELECT
ACCOUNTS PAYABLE REPORTS (under Report Groups) THEN FROM THE LIST ON THE
RIGHT SIDE, DOUBLE CLICK ON CHECK REGISTER

Select the Bank Account (and Bank Account Number if
necessary) for which you want to view the Check Register.

Specify the Date Range you need to view the Check Register
for.

If you only want to see the cleared items make sure there
is a check in the box next to Show Cleared Items Only. Then select the
type of transactions you want listed.

Note that you cannot Void a transaction (i.e.: deposits)
but you can Delete it. For checks, you have the option to Void or
Delete. The system will prompt you to confirm your deletions by asking,
“Are you sure you want to delete this Check/Transaction”

Click the button with the printer at the top of the screen
to preview and/or print the Check Register for the specified criteria.
Vendor
Listings
CLICK REPORTS, SELECT
ACCOUNTS PAYABLE REPORTS (under Report Groups) THEN FROM THE LIST ON THE
RIGHT SIDE, DOUBLE CLICK ON VENDOR LISTINGS

The Vendor Listing report merely lists all your vendors.
You have two options, Vendor List or Detail Vendor List.

If you select Vendor List, all vendors will be listed with
the following information: Vendor ID, Vendor Name, Contact, Address,
City, State, Zip and Phone Numbers.

If you select Detail Vendor List, each Vendor will have
its own page with the information listed above (for the simply Vendor
List) plus Email, Payment Terms, Credit Limit, Fed Tax ID, Vendor 1099,
Vendor Comments, Vendor Balance, YTD Balance, APDefault Account,
ExpDefault Account and Vendor Type.

Each Vendor and its information will be listed per page in
the Detail Vendor List.
Note: If you get errors when previewing your reports, don’t be
alarmed. This only means that there is no data to preview for the
selected report and date range.
